Overview
WorkBoard allows you to connect a KPI to an external data source so updates can be pulled in automatically instead of being entered manually.
This is useful when you want to track KPI progress using live data from another system, such as a spreadsheet, project management tool, business application, or data connector supported in WorkBoard.
Before you start
Before connecting a KPI to an external data source:
Make sure the integration you want to use has already been enabled in WorkBoard
Confirm you have access to the external system and the data you want to connect
Identify the KPI you want to create or update
Set up a KPI from an external data source
Create a new KPI, or open an existing KPI for editing.
In the Data Source & Updates section, click Change to external data source.
In the Select integration window, choose the external data source you want to use.
Use the search bar to find an integration by name, or select one from the list of available integrations.
If the integration is already connected, continue with setup. If it is not yet connected, complete the authentication steps first.
Configure the connection by selecting the source details required for that integration.
Depending on the connector, this may include:
file, sheet, or worksheet
project, board, or workspace
field, metric, or column
filter criteria
owner or status mapping
Preview or confirm the returned value, if prompted.
Save the integration settings.
Review the KPI details, including:
Owner
Team
Measured as
Monitored as
Visible to
Data provider
Cadence
Click Save to finish creating or updating the KPI.
How updates work
Once connected, the KPI will use the selected external source as its data provider. WorkBoard will update the KPI based on the cadence configured for that KPI.
For example, if the cadence is set to update weekly, WorkBoard will refresh the KPI according to that schedule.

Can I connect a KPI to any external system?
You can connect a KPI to any integration currently supported and enabled in your WorkBoard environment.
What happens if my integration is already connected?
If the integration is already connected, you can select it and continue configuring the KPI without re-authenticating unless access has expired.
Can I change the data source later?
Yes. Open the KPI, go to Data Source & Updates, and select Change to external data source to update the connection.
Who is listed as the data provider?
The Data provider field shows the person or source responsible for the KPI update configuration.
How often does the KPI refresh?
The KPI refreshes based on the Cadence selected for that KPI.
