Work with Meetings in the WorkBoard Chief of Staff Agent

Overview

You can now bring your meetings directly into the WorkBoard Chief of Staff agent and work on them side by side with the chat. After you ask the agent to show your meetings, you can click a meeting in the chat to open it as a Meetings Artifact — a collaborative panel that opens right next to the conversation.

The Meetings Artifact gives everyone in a meeting a shared, structured space to build an agenda before the meeting, capture takeaways during it, and turn those takeaways into actions once it's over.

Find and Work with Meetings from Chat

“Find my meeting on Friday” or “Add [topic] to my meeting with Joe tomorrow” — type such requests and the Chief of Staff agent takes care of it. Because it searches your WorkBoard meetings, your Outlook/Google calendar, you can ask by meeting name, by who was there, by date, or and from there the agent can read the attendees, agenda, and takeaways, and also add or reword topics and takeaways.

All of this is delivered by the WorkBoard MCP server, so it works the same way in Claude and other MCP clients once you connect WorkBoard (https://www.myworkboard.com/wb/mcp ).

Build Your Agenda

Add and edit a Topic or Takeaway

1. Click + Topic to add a new topic, or + Takeaway to add a takeaway. Takeaways are nested underneath their topic.

2. A rich text toolbar pops up just above your cursor whenever text is selected. It includes bold, italic, underline, bullet list, numbered list, link, and image.

3. There's no Save button — you type directly, and your changes are kept automatically.

4. Pressing Enter saves a topic/takeaway.

Note: Editing is only available to users with edit or moderator permissions on the meeting. Read-only users can see the content but can't click into edit mode. The Meetings Artifact respects the same permissions as the Meetings module in the platform.

Collaborate in Real Time

The Meetings Artifact is live for everyone in the meeting at the same time. Participants currently in the meeting appear as avatars in the top right of the artifact, and when someone is typing you'll see a colored cursor labeled with their name at the exact spot they're editing. Topics and takeaways that others add, reword, or reorder show up in your panel as they happen, so there's nothing to refresh and no need to take turns — a manager and a direct report can build a 1on1 agenda together, or a whole team can capture takeaways during the meeting without anyone overwriting anyone else's work.

Data-Driven Topics

Topics aren't limited to plain text. You can add an Objective, Key Result, Action, Workstream, or File as a topic in WorkBoard’s meeting module and visualize them when you open the meeting in chat.

View a Meeting with Multiple Items

As your agenda grows, the meeting becomes a scrollable list of topics and takeaways.

Each item includes:

• A drag handle on the left (appears on hover) for reordering

• An options menu (appears on hover)

• A colored participant avatar on the right — hover over it to see who wrote the item and the timestamp of the last edit

Convert a Topic or Takeaway to an Action

You can turn any text topic or takeaway into a real WorkBoard Action Item.

1. Hover over the topic or takeaway. A three-dot menu appears on the right side of the row.

2. Click the menu and select Convert to Action.

3. The item transforms in place into an Action Item card

Edit an Action After Converting

Once an item is converted, click it to load its artifact in the side panel, where you can update the owner, due date, etc.

Note: Conversion follows the same logic as converting topics and takeaways in the Meetings module in the platform.

Connect a Workstream to Your Actions

You can connect a workstream for all the actions created during a meeting.

1. Click + Connect workstream within the meeting.

2. A searchable list of workstreams opens.

3. Select a workstream. It becomes the selected workstream, and your actions can be bulk-assigned to it — the same way it works in existing meetings.
