Changing Agent Settings

Learn how to access and customize your WorkBoardAI agent settings — including notification preferences, proactive job responsibilities, connected teams, and external data sources.

Each WorkBoardAI agent has its own settings you can tune and customize.

You can control where your agent notifies you, which proactive jobs it runs and for which teams, and what external data it can access. You can even personalize your agents by naming them!


Accessing Agent Settings

To open your agent's settings, click the settings icon in the top right corner of the agent window.

Each agent — Digital Chief of Staff and Leadership Coach — has its own independent settings. Settings you change for one agent do not affect the other.


General tab

The General tab controls how and where your agent communicates with you.

  • Notification preferences: Choose whether your agent reaches out to you via email, Microsoft Teams, or Slack. You can enable more than one channel. This controls where proactive messages — like your Daily Focus or nudges — are delivered.

  • Deactivate agent: If you want to stop using an agent, use the Dismiss option at the bottom of the General tab. Dismissing an agent turns off all proactive jobs and removes the agent from your workspace. You can reactivate your agent at any time, but the past conversations and memories will be lost.

You can also change the name of your agent to personalize it from here!


Responsibilities

The Responsibilities tab lets you control which proactive jobs your agent runs automatically. Each job can be toggled on or off independently.

Available jobs include:

  • Daily Memo — generates your Daily Focus each morning with priority items, follow-ups, and meeting agendas

  • Meeting Summaries — automatically summarizes meetings your agent attends and surfaces next steps

  • OKR Cycle coordination — proactively helps your team manage kickoffs and sets up a canvas for your team retros

  • Alignment — scans upline and lateral alignment opportunities and generates a list for you to review

  • and much more


Teams

You can decide which Teams your Chief of Staff should help you manage. The options are only teams you either manage or co-manage.

This lets you run certain jobs for some teams but not others — useful if you manage multiple teams with different needs or cadences.

For team-specific jobs, you can also configure:

  • OKR cycle — whether the agent should help with reminders to set OKRs or close out OKRs for that specific team.

  • Pre-read and ping timing — set when your agent sends you a pre-read before your weekly team meeting, and when it pings team members to update their key results


Data Access tab

The Data Access tab is where you connect external tools — Microsoft Teams channels, Salesforce, Jira, Azure DevOps, and recurring meetings — so your agent has broader context for your Daily Focus and conversations.

Important Notes

  • Each agent (Digital Chief of Staff and Leadership Coach) has its own settings. Changes to one do not affect the other.

  • External data connected in the Data Access tab is shared across both agents. You only need to connect a source once.

  • Deactivating an agent turns off all proactive jobs. Your external data connections are preserved if you reactivate later, but any memory will need to be retaught to the agent.
