Agent Global Data

Agent Global Data lets Jira, Salesforce, or Azure DevOps data be connected once for an organization, so every agent can use it - no individual setup required.

Overview

The WorkBoardAI agent already understands your organization’s OKRs, workstreams, and team structure. With Agent Global Data, it can also use your organization’s Jira, Salesforce, and Azure DevOps data. An admin connects each source once for the whole organization, so people don’t have to connect it themselves.

Once a source is connected and shared with a team, team members can ask their agent about the team’s backlog, pipeline, or open work items right away, with no setup.

How Access Works

The IT Policy admin sets up each connector and syncs data using their own account in that source system. Only data that this account can access is available to sync.

Note: We recommend connecting with a dedicated service account rather than a personal account. That keeps the connection stable if someone changes roles or leaves, and lets you control exactly which data the connection can reach.

Who can see the data: The admin chooses exactly who can use it in their agent by selecting specific people, teams, or groups. Anyone who isn’t selected can’t see or use this data, and it’s never shared with the whole organization by default.

Manage Agent Global Data Connections

  1. Go to Admin Tools > Agent Global Data > Connectors.

  2. View each connector’s status, connection count, and last sync time.

  3. Open a connector to add or remove connections, or change who they’re shared with, without reconnecting the whole source.

What Team Members Will See

When an admin shares a connection with a team member, it appears automatically in their agent. They don’t need to sign in to Jira, Salesforce, or Azure DevOps or set anything up themselves.

Viewing Shared Connections

  1. Open Agent Settings.

  2. Select Data access.

  3. The page has two sections:

    • Your own connections (top): the Jira epics, Azure work items, and other data you connected to your agent yourself.

    • Global connections (bottom): data sources your admin has enabled for your account through Agent Global Data.

Each connection in Global connections shows:

  • Connection: the name the admin gave it (for example, Engineering or Product).

  • Date connected: when it was shared with you.

  • Source: where the data comes from (Jira, Salesforce, or Azure DevOps).

  • Enabled: whether your agent currently uses this data.

You can see which global connections are shared with you, but you can’t change what data they include or who they’re shared with. Only the IT Policy admin can do that.

Important Notes

  • Access granted through Agent Global Data is always scoped to the specific people, teams, or groups it is shared with. There is no setting that opens a connection to an entire organization by default.

  • Syncing is not instant. It can take a few hours for newly connected or newly shared data to become fully available in an agent.

  • Access is managed independently within WorkBoard, separate from permissions in Jira, Salesforce, or Azure DevOps.

  • Connecting data to an individual agent remains available and continues to work as it always has, alongside anything shared through Agent Global Data.
