SPM Admin: General settings users, spaces and access binding

SPM Admin is where administrators set up the structure and access for their organization.

Navigate to SPM Admin

Select Admin at the bottom of the left navigation (or your avatar in the top bar, then SPM Admin). The page is called SPM Administration.

General settings

Changes on this tab save automatically:

Setting

What it does

Organization domain

Your organization's domain, for example example.com

Base currency

The currency every financial figure is reported in. Amounts entered in another currency are converted on save using the exchange rates in Configuration, so a currency with no rate can't be entered at all. Changing it doesn't restate figures already recorded; it applies to what's entered next

Salary loading factor

Turns base salary into fully-loaded cost (benefits, payroll tax, overhead) for the derived salary bands. Typically 1.25–1.4. Leave blank for unloaded

Nightly resource cost reconcile

Re-applies rate-card and salary-band changes to initiative plans overnight. Without it, a rate change only reaches a plan when someone edits that initiative's resources

Scope size cap

The most work items one connected selection may cover. Connecting something larger is blocked, and the message names the selection. Leave blank for the default of 5,000

Feature flags

Organization-wide capabilities. Changes apply immediately. See Feature availability

Users

The Users tab lists each user with their Name, Email and Roles. Each role shows the Space it applies to.

Roles

The Roles tab (Roles & rights) shows each role against every item type, with the rights it holds: r (read), w (write), m (manage) and a (admin). SPM comes with twelve built-in roles: Super Admin, IT Admin, PMO Admin, Portfolio Manager, Portfolio Owner, Initiative Manager, Initiative Owner, Contributor, Requester, Executive, Viewer and Member. See Roles, Spaces and access for what each one can do.

  • Select New role to create your own role, scoped to one Space or to All Spaces. You can start from blank or copy an existing role.

  • Select New permission to add an object type as a new column, with default access for each role.

  • Custom roles can be edited or archived from their actions menu.

Build the Space tree

Spaces mirror how your organization is divided, for example regions or business units. Every portfolio belongs to a Space, and the Space controls who can see it.

  1. Open the Spaces tab;

  2. Under New Space, enter a Name and choose its Parent (it defaults to the root);

  3. Select Add Space;

The Space tree shows each Space with its reporting currency. Leave a Space on Inherit unless that part of the business reports in its own currency; an override applies to every Space beneath it too.

Give people access with bindings

A binding says: this group or person holds this role in this Space.

  1. Open Access bindings.

  2. Under Bind a group or user to a role & Space, choose the Subject type: WB group or User.

  3. Pick the group or user.

  4. Choose one or more Roles.

  5. Choose the Space, and set Include descendants.

  6. Select Add binding.

Current bindings shows one row per person or group with their roles, Space · Subtree and number of bindings. Select + Role to add another role to that person or group.

Terminology

On the Terminology tab, rename SPM's top-level objects (Portfolio, Initiative, Program and Roadmap) with a singular, plural and article for each. New labels show everywhere people see them, including navigation, page titles, buttons, tables, notifications and Bo's answers. Set labels for the whole organization under Organization (every Space), and override them for a single Space if needed. A preview shows how the labels will look. URLs, import templates, your data, permissions and history don't change.
