Resource and capacity planning

The Resources tab shows who is working on an initiative, where you're short of people, and how loaded they are. The figures roll up to each portfolio.

The views on an initiative's Resources tab

Open an initiative and select Resources. Use the view switcher at the top:

View

Resourcing

Planned demand and allocated people against time, with the summary figures

Tables

The Demand, Assignment and Gap tables

Supply / Bench

Your organization's catalog of available resources, with capacity and rates

Utilization

Capacity against allocation, person by person

Engagement

Who actually worked on the initiative, from connected delivery tools. See Resource engagement and identity reconciliation (Preview)

Above the views is the Reflect resource costs in financials checkbox. When it's on, the initiative's Financials tab shows the resource labor it includes.

Read the Resourcing view

At the top of Resourcing are three buttons: Import data, Add/Edit resource and Resource planning. Below them, four figures summarize the initiative:

Figure

What it shows

Planned demand

FTE the plan calls for, with the number of roles and seats

Allocated

FTE of the people committed to the initiative, and how many are linked to a planned role

Unfilled demand

FTE of demand no one fills yet, and how many seats are filled

Avg utilization

Average load on the allocated people, and how many over-allocations there are

Pick the date range, and switch the scale between Weeks, Months and Quarters. The view has two sections:

  • Planned demand: select Edit or any cell to change seats, FTE or dates, and + Add demand to add a role.

  • Allocated resources: each person's load month by month. Switch between % of capacity and FTE, use Filter, and select + Find & assign resource to add someone. Each row shows the role the person fills, or Not linked if they aren't tied to a planned role.

Cell colors follow the legend: Healthy ≤85%, Tight 86–100%, Over 100%.

Switch on What if to try changes.

Add demand

Demand is what the initiative needs before it's tied to named people.

  1. Select + Add demand. The Add a role to the plan panel opens;

  2. Choose the Role (required), the Kind and optionally a Region;

  3. Set the Period (required), the Count of seats and the FTE per seat (required);

  4. The panel shows the Total FTE.

  5. Add notes if needed, and select Add demand.

Add or edit assignments

  1. Select Add/Edit resource (in Resourcing) or Add/Edit Assignment (in Tables).

  2. In the Resource Assignment panel, search for a person or pool (Search people or pools…).

  3. Fill in each row: Name, Role, Type, Booking, Alloc FTE, Actual FTE, Start, End and Notes.

  4. Select Save.

The Assignment table in Tables lists each assignment with its Assignee, Skill, Kind, Period, Alloc, Actual, Rate/yr, Cost and Source.

Get a proposed team from the Resource Agent

Select Resource planning to work with the Resource Agent on the initiative's staffing.

Supply / Bench

Supply / Bench is the catalog of people, teams and vendor pools that initiatives draw from.

  • The summary shows Resources, Total capacity (in FTE) and With a rate.

  • The table lists each resource's Name, Type, Role, Region, Skills, Capacity FTE and Rate override. From rate card means the person is priced from the matching rate card.

  • Select + Add/Edit resource to add or edit resources.

Utilization

Utilization shows capacity against allocated FTE month by month.

  • Filter by role, region and type, choose whether cells show % or FTE, and switch Include tentative on or off.

  • The summary shows Resources, Capacity (FTE·mo), Allocated (FTE·mo), Avg utilization, Over-allocated, Bench (FTE·mo) and Est. labor cost.

  • The grid lists each person and their load for each month. Blue means under-used, green healthy and red over-allocated.

How labor is priced

Labor rates come from Configuration → Rate cards. As that page explains, a rate card is the fully-loaded cost per role, optionally narrowed by proficiency and region, and effective-dated. A resource draws the most specific matching card unless it carries its own rate override. Roles with no card fall back to a salary band averaged from Team Members. The Role coverage panel shows roles in use that have no rate card, and a role with no rate card is costed at zero on every plan that uses it. See Rate cards, team members and labor cost.

Import resource data

  1. Select Import data;

  2. The Import resource data panel (Bring people, capacity and existing allocations into this initiative.) offers File upload or Connector;

  3. Drop a CSV or Excel file (roster, capacity, allocations), or import from a link;

  4. The Portfolio Analyst detects columns and units automatically;
