Roadmaps

A roadmap is a planning board for one initiative. It shows the work that will deliver the initiative, its milestones, and how pieces of work depend on each other.

Create a roadmap

  1. On the Roadmaps page, select New Roadmap.

  2. Define roadmap (step 1 of 2): enter a Name, choose the Scope (the initiative the roadmap belongs to) and check the Time horizon, which defaults to the initiative's own dates.

  3. Select Continue and complete step 2.

The roadmap board

The header shows the roadmap's name, its time horizon and owner, and Baselined on with a date once a baseline exists. The toolbar has:

  • Add to roadmap, Present, Share, History, Edit and More actions.

  • Timeframe, Layout, Milestones, Filter, Customize and Save view.

  • Work with Roadmapping Agent and Create baseline.

Choose a layout

Use Layout to switch between:

  • Kanban

  • Matrix

  • Gantt

  • Ranked List

  • Table

More

The More menu contains two further tabs:

  • Files: attach supporting documents. Drag a file onto the panel or select to choose one. Files can be up to 50 MB: PDF, images, Office documents, MP4 or ZIP.

  • History: a record of every change to the item, showing who made it, what changed and when, for example "Jessica Smith changed Planned end date to 2026-07-31".

Create a baseline and track changes

A baseline is a snapshot of the roadmap as agreed.

  1. Open the roadmap and select Create baseline.

  2. The roadmap is then marked Baselined on the date and time you created it.

Select History to see Baselines (each snapshot, with the current one marked) and the Change ledger, which records each change to an item: the field, the old and new values, who made the change and when.

Share a roadmap and manage owners

Select Share to open Sharing & Permissions:

  • Co-owners: search for people and add them as co-owners. The dialog lists the roadmap's owners;

  • Shareable link: "Create a read-only link to send to whoever needs it — one person or a group. Anyone at your organization signed in to WorkBoard can open it; no edit, no drill-through."

    Select Get shareable link.
